CONFERENCE EMBARGO POLICY
All E-Poster abstracts are embargoed until 12:00 WITA, on 13 November 2024.
All Paper poster abstracts are embargoed until 13:00 WITA, on 13 November 2024.
All abstracts are embargoed until the time and date of the start of the session (oral abstract or short oral abstract session) in which they are delivered or during a press conference – whichever comes first.
CONFLICT OF INTEREST
Please note that all presenters are required to include their COI by the time they upload their presentation and inform about it at the start of their oral presentation.
E-Poster presenters will need to upload their COI before being able to upload their poster presentation.
Paper poster presenters will need to provide their COI as instructed to be able to set up their poster on the scheduled day and time.

PRESENTATION GUIDELINES
General Information
- Updates may be shared during the presentation, but no modifications can be made to the submitted abstract.
- If you are not able to upload your presentation by the stated deadline, notify the corresponding programme as soon as possible:

- It is strictly forbidden to present abstracts whose content is to be published or publicly presented before presentation at The Union World Conference. Please read the above-mentioned Conference Embargo Policy.

As a speaker, you are invited to upload your presentation on the online platform by the stipulated deadline shown on the invitation email that you will receive from support@openslideservices.com. You will also have to check and validate your presentation at the Speaker Service Centre before the beginning of your session. Details about the location and opening hours will be provided at a later stage.
The online platform will make it quick and easy for speakers to upload their Power Point presentations prior to conference. We strongly recommend all speakers take advantage of this option.
For organisational purposes, we invite you to visit the Speaker Service Centre at least two hours before the starting time of your session. A dedicated team of technicians will assist you with verifying your presentation.
To allow each speaker enough time to check their presentation, only minor modifications are allowed on the working stations at the Speaker Service Centre.
Presentation format
All presentations should be in PowerPoint format and PC compatible
The projection format will be 16:9, please use this format when creating your slides
PowerPoint 2019 and previous versions are accepted.
Save your file with a .pptx extension for a better compatibility.
Media elements:
- Use the ‘Insert’ function to integrate media elements, such as images and
- Try to limit the size of your videos and sound to 1GB and use formats such as .mp4 and .wmv if possible.
- If your video files come from a medical equipment, make sure you do not need a special proprietary software to play it on a PC.
If you work on a Mac try to avoid specific fonts in Mac OS and rather choose Windows compatible fonts.
You should bring a copy of your presentation, including a copy of your video file(s), on a USB flash drive or an external hard drive, in case required while checking your presentation at the speaker centre on site.
There is no option to load your presentation in the session room using a USB drive, or to connect your personal laptop. All presentations will be run from the PC provided in the session room.

E- Poster Presentation Format
Your E-Poster file should be created on one single page as 16:9 Portrait Format and saved as PPTX.
Paper Poster guidelines

As a Paper Poster presenter, you are invited to put up your Poster the day of the presentation from 8:00-9:00 am WITA and remove it the same day from 18:00 to 19:00 pm WITA.
Paper Poster format
- Poster size must be 90 cm x 120cm
- Double-sided tape will be provided at the Poster Desk.
- Posters should not be printed on heavy materials, such as canvas, as they easily fall from the poster panels.
